Objectives of the Tutorial

Generally: To print files, use a different printer and to manage the print queue.

Specifically: On completion of this section you will be able to:

  • Use the Printers folder to choose a printer
  • Change print settings
  • Print documents
  • Pause and resume printing
  • Use drag-and-drop to print a document

Windows provides many printing facilities. This section explores the Printers folder, through which many printing actions can be carried out, shows you different ways to print and how to share a printer across a network.

The Printers Folder

The Printers folder provides a way of adding new printers, configuring existing printers and managing print jobs.

To view the Printers folder

  • From the Start menu, select Settings then Printers

The Printers folder is displayed.

Printers folder

The icons in the Printers folder are as follows:

To set a printer as the default printer

  • In the Printers folder, select the icon for the printer you want to use as the default printer
  • From the File menu, select Set as Default Printer

A tick mark is added to the printer's icon .

Printing Documents

To print an open document from an application

  • From the File menu, select Print

Normally, a Print dialogue box will be displayed allowing you to select which printer you want to use and to specify other print options. In some cases the document will simply print to the default printer.

To print a document from Windows

You can print a document without opening it in several ways.

  • Right-click the file and from the shortcut menu, select Print

The document will be printed on the default printer.

OR

  • Open the Printers folder
  • Open the folder containing the document to print
  • Drag the document icon onto the icon of the printer that you want to print to

Tip: While a document is printing, a Printer icon appears next to the clock on the Taskbar. When this icon disappears, your document has finished printing.

Tip: If you use drag-and-drop printing regularly, create a shortcut to a printer and put it on the Desktop. If you drag documents onto the shortcut they will print.
